Who we are.
Reliable Telephone and Data, Inc. ("RTD," "we," "us") is a California corporation operating as Reliable Telephone & Data, headquartered at 9018 Balboa Blvd #344, Northridge, CA 91325. We've served American businesses with voice and data communications since 1998. Today our work centers on cloud voice, AI-driven call handling, structured cabling, and network infrastructure for businesses across the continental United States.
This Privacy Policy applies to our website (latelephone.com and any subdomains we operate), our sales and customer-support communications, and the personal information we process when you interact with us through phone, email, fax, chat, voice assistant, or contact form. It does not govern how our service partners (such as Intermedia.net, Inc.) handle data once it enters their platforms in your name — those relationships are governed by their own privacy policies and your direct agreements with them.
Information we collect.
We try to collect the minimum information we need to answer your question, scope your project, or run your account. We've grouped what we collect by how you interact with us.
A. Information you provide directly
- Inquiry / contact form. When you submit our contact form, we collect your name, company, email, phone (optional), company size, current phone system (if known), the topics you're interested in, and any message you choose to send. This goes to our team inbox at Contact@LAtelephone.com.
- Live chat assistant. Our website includes a text chat assistant powered by Anthropic, Inc.'s Claude large language model. The messages you type are transmitted to Anthropic to generate a response, then returned to your browser. Transcripts may be retained by RTD for service quality and follow-up. The assistant identifies itself as an AI at the start of the conversation.
- Voice assistant. Our "Talk to us" button starts a browser-based voice call with an AI agent operated by ElevenLabs Inc. ElevenLabs — not RTD — captures and stores the audio of the call, generates the live transcript, and operates the AI agent. After the call ends, ElevenLabs sends RTD a transcript and call summary by email; RTD's own servers do not receive or store the raw audio recording. The agent identifies itself as an AI and announces that the call is being recorded at the start of every conversation. By continuing the call after this notice, you consent to being recorded under California Penal Code §632.
- Direct contact. When you call (818) 455-8300, email, or fax us, we collect whatever you share — your name, company, contact details, and the substance of your request.
- Customer onboarding & account data. If you become a customer, we collect the information needed to provision and bill your service: company details, authorized contacts, billing and shipping addresses, payment method, signatures on service agreements and porting requests, the phone numbers being migrated, and the service address(es) registered for 911/E911 emergency call routing. Because cloud voice can be used from anywhere with internet, keeping your registered 911 address current is your responsibility — see Terms §10 for details.
B. Information collected automatically
- Server logs. Our website is hosted on Vercel. Vercel records standard request logs (IP address, user-agent string, timestamp, requested URL, response status) for operational and security purposes.
- Browser session storage. Some pages use the browser's
sessionStorageto remember small bits of state during a single visit — for example, which call samples you've already played on our Services page. This data stays in your browser, expires when you close the tab, and is not transmitted to us. - Voice call metadata. When you use the voice assistant, ElevenLabs and the underlying WebRTC connection generate technical metadata (connection timestamps, durations, audio quality metrics) used to operate the call.
We do not currently use: Google Analytics, Meta Pixel, advertising cookies, third-party trackers, behavioral profiling, or session replay tools. We do not sell personal information and we do not "share" it for cross-context behavioral advertising (as those terms are defined under the CCPA/CPRA).
C. Information from third parties
- Referrals. If someone refers you to us, we may receive your name and contact details from them.
- Public business directories. For outbound prospecting we occasionally use publicly available business contact information (company website, main number, listed contact addresses).
- Service partner reports. Our service partners (e.g., Intermedia) provide us with operational reports about your account so we can support you — usage summaries, ticket histories, port-request status.
How we use your information.
- Respond to inquiries. To answer the questions you send us, prepare quotes, and follow up on conversations.
- Provide services. To design, deploy, and support the voice, AI, cabling, and network services you've engaged us for. This includes maintaining accurate 911/E911 routing for your registered service address(es) with the underlying carrier.
- Operate the website and assistants. To run the website, keep it secure, and power the chat and voice agents.
- Communicate with you. To send order confirmations, project updates, support responses, billing notices, and (rarely) general announcements relevant to RTD customers.
- Improve our service. To review chat and call transcripts for quality, identify common questions, and refine how our assistants respond.
- Legal and safety. To meet legal obligations, enforce our agreements, prevent fraud, and protect the rights and safety of RTD, our customers, and the public.
We rely on your request for service, our legitimate business interests in operating and improving RTD, and applicable contractual and legal obligations as the bases for processing this information.

We update this list as our stack evolves. Material additions will be reflected here and noted in the "Changes to this policy" section.
How long we keep information.
We keep personal information only as long as we need it for the purpose we collected it, plus any additional period required by law or to resolve disputes and enforce our agreements. Practical defaults:
- Inquiries that don't become customers. Up to 24 months in our team inbox and CRM-style records, then deleted or anonymized.
- Chat transcripts. Generally up to 12 months; sometimes longer when needed to follow up on an open conversation.
- Voice call recordings, transcripts, and summaries. Generally up to 12 months for sales-stage calls handled by our voice assistant; longer for active customers where we need them for support or compliance.
- Customer records. For the duration of your relationship with RTD and for a reasonable period after termination (typically 7 years) to meet tax, accounting, and contract-administration obligations.
- Server logs. Operational logs are kept on the timelines maintained by Vercel.
- Call recordings on Intermedia Unite (if you enable recording on your account). Intermedia retains 30 days of recording by default; longer retention requires the Archiving add-on (1, 3, 7, or 10 years), which you choose when configuring your account.
How we protect your information.
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. Our website is served over HTTPS, the voice-agent webhook is signed and verified, our credentials are stored as managed environment secrets, and access to our team inbox and customer systems is restricted to authorized personnel.
No method of transmission or storage is perfectly secure. We can't guarantee absolute security and ask that you choose strong, unique passwords for any accounts you hold with us or our partners, and let us know promptly if you suspect a compromise.
Your rights — California residents.
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you certain rights regarding the personal information we collect:
- Right to know what categories of personal information we collect, the sources, purposes, and categories of recipients.
- Right to access the specific pieces of personal information we hold about you.
- Right to delete personal information we collected from you, subject to legal exceptions.
- Right to correct inaccurate personal information we hold about you.
- Right to limit the use of sensitive personal information (we do not currently use sensitive personal information for purposes that trigger this right).
- Right to opt out of sale or sharing of personal information (we do not sell or share personal information as those terms are defined under the CCPA/CPRA).
- Right to non-discrimination for exercising any of these rights.
To exercise any of these rights, contact us using the details in §13. We will verify your identity (typically by confirming details you've previously shared with us) and respond within the time periods required by law. You may also designate an authorized agent to submit a request on your behalf, with documentation of their authority.
Categories of personal information collected in the past 12 months, using CCPA categories: identifiers (name, email, phone, IP address); commercial information (services inquired about or purchased); audio and electronic information (voice-call audio, transcripts); professional information (company, role, current phone system); internet activity (server logs); inferences drawn from the above (project fit, likely needs). Sources, purposes, and recipients of each are described in §02–§05.
Children's privacy.
RTD is a B2B service. Our website is not directed to children under 13, we do not knowingly collect personal information from children under 13, and we ask that minors not submit personal information through our site. If you believe a child has provided us information, contact us in §13 and we will delete it.
International users.
RTD operates from the United States and provides services to American businesses. Our website is hosted in the U.S. and our service providers are largely U.S.-based. If you access our site or services from outside the United States, you understand and consent to your information being transferred to and processed in the United States, which may have data-protection laws different from your home country.
Changes to this policy.
We will update this policy from time to time as our services and the law evolve. The "Last updated" date at the top of the page will reflect the most recent change. Material changes will be announced on this page and, where appropriate, communicated to active customers directly. Your continued use of our website and services after an update constitutes acceptance of the revised policy.
